PracticeDocket is appointment software used by licensed therapy practices. It sends one kind of text message and no other: a reminder, on behalf of the practice, that a client of that practice has a session booked. It sends only to clients who opted in.
PracticeDocket is operated by SYR WELLNESS LLC, a New York limited liability company (DOS ID 7817521), 531 Brooklyn Avenue, Brooklyn, NY 11225. SYR WELLNESS LLC sends appointment reminders on behalf of the licensed therapy practices that use PracticeDocket, to those practices' clients who opted in.
All reminders come from one PracticeDocket number. Every message starts with PracticeDocket: and then names the practice the client booked with, so the person reading it knows both who sent it and who it is for.
Only the client can turn texts on, and there are two places they can do it. Both show the same checkbox with the same words. A therapist cannot turn texts on for a client; they can only turn them off.
1. On the booking page. A client books a session on their practice's booking page, at an address of the form book.practicedocket.com/p/<practice>. The mobile number field on that form is optional, and the form can be submitted without it. Once a number is entered, a checkbox for text reminders appears. It is never pre-ticked, and it is optional: consent to texts is not a condition of booking, and booking completes whether or not it is ticked.
Agreeing to our Terms and Privacy Policy is a separate checkbox, below the text-reminder one and never combined with it. It is shown for every booking, with or without a mobile number, is never pre-ticked, and must be ticked to book. Ticking it does not sign anyone up for texts.
2. In the client portal. A client who is signed in to their practice's secure client portal, at my.practicedocket.com/portal, finds a Text reminders setting under Reminders on their home page. It shows the mobile number on file, which they can change (US numbers only), and the same text-reminder checkbox, never pre-ticked. Unticking it turns texts off again.
This is exactly how the booking form looks once a mobile number is entered. The first checkbox is the same in the portal:
The practice's own name is filled in where [practice name] appears. The first box appears only once a mobile number is typed and is optional; the second is always shown and is required to book. Both are shown here disabled because this is an illustration, not a live form.
The client ticking this box, in either place, is the only way a client opts in. The consent is stored with the date and time against that client's record, together with which of the two places it was given.
A client is sent a reminder only when all of the following are true: their practice has turned text reminders on, the client has opted in, there is a mobile number on file, and the client has not replied STOP.
At most one message per appointment, before the session. It says the practice's name and the date and time of the appointment. Nothing about the client or why they are being seen: no client name, no type of session, no diagnosis, no notes, no clinical information of any kind.
These use made-up practice names. The format is exactly what is sent.
| Reply | What happens |
|---|---|
| STOP | Reminders stop immediately, and a single confirmation is sent. No further messages are sent to that number. |
| HELP | A reply explaining who is sending, what is sent, and how to stop. |
A client can also untick the box in their portal, or ask their therapist to turn reminders off, at any time. A number that replied STOP stays stopped until the client replies START; after that they can tick the box in their portal again. Message and data rates may apply, depending on the client's mobile plan.
Mobile numbers are used for appointment reminders and nothing else. They are never sold, never shared with advertisers, and not shared with any third party except the messaging carrier that delivers the message. Full detail is in our Privacy Policy and Terms of Service.
